Master key system design accounts for that from the outset: the keying platform and combinations chosen leave spare capacity for realistic future openings, rather than filling every available combination on the first day. What the current keys can already tell you
Before anything is redesigned, the locksmith reviews the keys already in circulation: how many exist for each door, which ones are stamped or coded in a way that identifies what they open, and which staff members currently hold more access than their role calls for. This review often surfaces the exact problem the new system needs to fix, whether that is a master key copied one time too many or a department that was folded into another without anyone updating who could get in.
Handling a lost key discovered mid-project
If a key turns up missing or unaccounted for while the assessment is underway, the affected level is dealt with before the rest of the design continues: the doors that key can reach are identified from existing records or, where none exist, from a physical walk of the property, and those cylinders are prioritized for repinning ahead of the rest of the schedule. Folding this into the same visit avoids a second project later to close a gap that was already known about.
Handing the record to whoever administers it next
The chart, the issuance log and any spare keys are handed to a named administrator, not left as loose paperwork or scattered across whoever happened to be present. If that role changes hands, custody of the record moves with it deliberately, along with a signed acknowledgement of what is being transferred, so the system's history does not quietly disappear along with the person who used to manage it.

Doors on a barrier-free path of travel need lever or paddle-style hardware rather than round knobs, so a property with several such doors that currently have incompatible hardware has more replacement work folded into the project than one already fitted with compliant hardware.

A restricted or patented keyway costs more in blanks and administration than a standard keyway, since duplication is controlled through the manufacturer's authorized record rather than cut anywhere. A simple chart listing levels and holders is the baseline. Some businesses want a more detailed record, cross-referenced by department, room number or staff role, which takes additional time to prepare and is quoted as part of the documentation work.

What is the difference between a master key and a sub-master?
A sub-master sits below the top level and opens a defined group, such as one department or one floor, without opening doors outside that group. The top-level master sits above every sub-master and opens everything in the system. Most properties need only one or two sub-master levels; adding more than the business genuinely uses just makes the chart harder to manage without adding real convenience.
What should I have ready before the assessment visit?
A rough list of who currently has access to which doors, any existing keys or cylinders you can point to, and a sense of upcoming changes such as new hires, a department split, or a unit due to open. None of this needs to be exact; the assessment is partly built around confirming or correcting whatever the business already assumes about its own access.
